Document Scanning Services Preserves Historical Records

Old-Republic-TitleOld Republic Title is one of the largest title insurance groups in the United States. Operating through a national network of company-owned offices, affiliates, authorized agents and approved attorneys allows them to service their customers both large and small across the county.

In 2015, their office in Norman, Oklahoma, housed 400 tract books with multiple historical records of chain of title and property searches. Such information is public record, but finding it from a tract book can be time-consuming and cumbersome, albeit essential for researchers.

Keeping these records in a dated format with no backup readily available is very risky in the event of a fire, tornado or other disaster that might damage the building in which they are kept. BIS Solutions Consultant, John Bailey, visited with Old Republic Title about a disaster recovery plan.

“As a leading document scanning company, we went in with the purpose of the disaster recovery plan so we could digitize their tract books and make them readily available from various other locations, therefore saving time on retrieval,” said Bailey. “We knew they needed to modernize their operation by going digital. The benefits were numerous, including disaster prevention, retention and ease of access from any remote location.”

The BIS’ Records Services Department brought the tract books in-house and scanned each page using large format scanners, digitized the documents and indexed them by book and page number. Researchers can now search these records quickly and easily. The new digitized documents will help improve and update their business continuity, resulting in yet another satisfied BIS customer!
